Pay only for what turned up

Every order is approved before it goes out. When the goods arrive you record what came, line by line, and Cynco checks the supplier's bill against both, so you pay for what you ordered and kept, at the price you agreed.

  • Approval before it goes
  • Goods received notes
  • Bill checked against order
  • Order becomes the bill
  • Numbered by month for each company
  • Turn the same order into a bill twice and you still get one bill
  • Ordering changes nothing in your books. Receiving does.

Receiving

Count what came, keep what's right

When a delivery lands, record a goods received note against the order: what arrived, what you kept, and what you sent back and why. Accepting it adds the stock to your books at the price on the receipt.

  • Ordered, received, accepted and rejected, per line
  • Over-deliveries recorded and flagged

Matching

Catch a bill that doesn't match

Cynco checks each line of the supplier's bill against your order and what you received, for quantity and for price. If the price moved, the difference goes to its own account when you approve the bill, not buried in your stock value.

  • Order, receipt and bill compared line by line
  • Price differences kept in their own account

The details

Statuses
Draft, pending approval, approved, partially received, received and closed. A rejected order goes back to draft; void ends it.
In your books
Accepting goods adds them to your stock, with a holding balance for goods received but not yet billed. The bill clears that balance at the received cost.
Bills
Turn an approved order into a bill with its supplier and lines already filled in.
The assistant
Ask it to draft an order, move it along or turn it into a bill. Large orders, or any run you set to review, wait for your approval.
